Plain-language guide

What is a Company Brain?

It is the knowledge your business relies on—documents, decisions, procedures, and the rules people carry in their heads—organized so it can help with a specific job. Add AI, and it can help find the background or prepare a first pass. A person still checks what matters.

Business Brain is our service for building one around your business. This guide explains the idea so you can decide where it might help.

The job comes first

A company brain is useful when the same question keeps finding the same person.

Which document is current? What did we agree with this client? Why did we make an exception? An experienced colleague may know the answer, but the next person needs the source and the reasoning. A company brain gives that person a way to prepare before they interrupt the expert.

How the work is divided

The information, the preparation, the decision.

What it uses

Current documents, records, procedures, and decisions chosen for the job, with rules for who can access them.

What it prepares

A relevant answer, a missing-item list, or a draft handoff, with the supporting material available for someone to check.

Who decides

A responsible person reviews the sources, corrects mistakes, and decides whether the work is ready to use.

Connecting documents can supply current material to a workflow; it does not train the model’s weights. Fine-tuning would be a separate, scoped choice. It would not replace current sources, access rules, or review.

A fictional example

Two drawing sets. One answer to prepare.

Imagine a small architecture firm asked which drawing set governs an installation detail. A scoped workflow could bring together the issued sets, revision notes, and the related decision record. It could draft a response that points to those sources and flags the conflict if the records disagree.

The project architect checks the documents and decides what to send. This is an illustration of how a workflow could operate, not a customer result or a completed product demonstration.

Starting small

Pick a job your team knows well enough to test.

Bring current source material, an owner for that knowledge, a person who can review the result, and examples of good and bad answers. Test missing and conflicting information along with the straightforward cases.

Questions to settle before a build

  • What task would the team ask it to prepare?
  • Which information may it use, and who may see it?
  • Who checks the result before anyone acts on it?
  • What would make the first workflow useful enough to keep?

If you decide to build

The Business Brain turns a chosen job into an agreed project.

We define the sources, the first workflow, the review steps, and how to test it. We also assess whether hosted or private deployment fits the work. See the Business Brain scope and starting price or how we deliver a project.

Questions

Practical answers before you book a call.

What is the difference between a company brain and a Business Brain?+

A company brain is the general idea of making company knowledge useful in a repeatable workflow. Business Brain is Hire A Brain’s scoped implementation service. What it includes depends on the organization and the agreed work.

Is it just company search?+

Search may find a document. A defined workflow can also use approved material to prepare a draft or handoff and give someone a place to check it. Connecting sources does not train the model’s weights.

What do we need for a first workflow?+

Bring one recurring task, current source material, an owner for that knowledge, a reviewer, and examples of good and bad results. Those inputs let you test a useful job before widening the scope.

Can the team trust every answer?+

No. References, tests, and review can help people find mistakes, but they cannot guarantee a correct answer. The responsible person checks important work and decides what to use.

Does it have to run locally?+

No. A hosted service may fit some requirements, while a private deployment may fit others. Compare the full data flow, service terms, workload, and operating cost before deciding.

Which question keeps landing with the same person?

Tell us about that job, where the answer lives, and who needs to approve the work. Keep confidential records out of the initial inquiry.
